Privacy Notice

JL PERFORMANCE LABS LTD is responsible for your information.

Company number: SC897090

Contact: jlperformancelabs@gmail.com

This notice covers people enquiring about coaching and athletes aged 18+, wherever you live.

What we use and why

We use contact details, coaching goals, availability, training history and progress, relevant health information, emergency contacts, correspondence and payment records.

We use this information to answer enquiries, arrange and provide coaching, communicate with you and keep necessary records. Our legal bases are:

  • Contract: taking steps you request before joining and providing your coaching.
  • Legal obligations: keeping records required by law.
  • Legitimate interests: keeping appropriate business records, handling complaints and protecting our service.
  • Explicit consent: using relevant health information to support coaching.

Please only share relevant information. Without essential details, we may be unable to arrange or safely provide coaching. If you provide an emergency contact, please share this notice with them.

Health information

With your explicit consent, we use relevant health information you provide — such as injuries, illness, medication or recovery issues — to support your coaching.

You can withdraw consent at any time by emailing us or telling your coach. Withdrawing consent does not affect information already used lawfully.

If you decline or withdraw consent, we will discuss whether coaching can safely continue without that information. If you withdraw consent, we’ll stop using that health information and delete it unless we’re legally required to keep it.

Who we share information with

Only the founder currently accesses customer information within JL. We use service providers to help deliver coaching, process payments, communicate with you and store business and coaching information. We only share information where needed for these services or to meet legal obligations.

Where information is processed outside the UK, we use providers with appropriate data-protection safeguards in place.

How long we keep it

  • Athlete and coaching records: three years after the coaching relationship ends.
  • Unsuccessful enquiries: 12 months after our last meaningful contact.
  • Relevant health information: only where needed and lawful; retained coaching records follow the three-year period.
  • Outdated onboarding information: deleted when no longer needed, unless it forms part of the coaching or business record.
  • Financial records: six years from the end of the relevant financial year, or longer where the law requires.

These periods do not override valid deletion requests or withdrawal of consent.

Website analytics and cookies

With your consent, we use Google Analytics 4, provided by Google, to understand how visitors find and use our public website — for example which pages are viewed, how visitors arrive (such as from Google, Instagram, TikTok or directly), clicks on enquiry buttons and social links, and whether an enquiry was sent.

Google Analytics sets analytics cookies (named _ga and _ga_*) that last up to two years. We do not send your name, email, phone number, goals or any other enquiry details to Google Analytics, and advertising features are switched off. Google may process this information outside the UK under appropriate safeguards.

Analytics only runs on public website pages. The athlete and coach portals, onboarding forms and health declarations are never tracked.

Our legal basis is your consent. Analytics cookies are not set unless you choose Accept. You can change your choice at any time using Cookie Settings in the website footer; if you withdraw consent, tracking stops and the analytics cookies are removed. Withdrawing consent does not affect analytics already collected lawfully.

Your rights

You can ask to see or correct your information, request deletion or restricted use, object to uses based on legitimate interests, and request a portable copy where applicable.

Email jlperformancelabs@gmail.com. We normally respond within one month.

You can also complain to the Information Commissioner’s Office (ICO) or your local data-protection authority.
